Terms of Use and Privacy Policy

Purpose
The website available at www.lilagora.fr, is a private professional social network made available by the University of Lille to allow its members (high school students, university students, staff, alumni and partners) to help each other, keep in touch, make networking easier, share opportunities, exchange advice, promote training, and to promote labour market integration, employment and careers.
The site and its services are provided by the "AlumnForce" application published by MEVIA, a simplified joint-stock company with a capital of €11,300, registered with the Nanterre Trade and Companies Register under number B 501 609 143, whose registered head office is located at 93-97 Rue Eugène Caron, 92400 Courbevoie, France.
These terms of use are intended to control access to the website and how it is used. Please read them carefully.
By activating your Account, making a request for an Account, booking an event or making a purchase on the Website, you acknowledge that you have read and accepted these terms of use.
Definitions
The terms beginning with a capital letter in the terms of use (TOU) have the following meaning (unless expressly stated otherwise):
- Alumni refers to former students of the University of Lille (formerly University of Lille 1, University of Lille 2 and University of Lille 3), graduates or otherwise;
- Staff refers to people employed by the University of Lille including administrative and teaching staff;
- Partner refers to natural or legal persons from the socio-economic sphere, recruiters or otherwise;
- Website refers to the Lilagora website, the professional network of the University of Lille, accessible at www.lilagora.fr, giving access to the Network Services;
- Users refers to the members who can access the services via an Account (High School Students, University Students, Staff, Alumni and Partners), natural persons registering for an event and Administrators. For each type of User, access to the services may be limited by the Administrators;
- Administrators refers to natural persons, who may or may not be employed by the University of Lille, authorised to use the Modules of the AlumnForce application for professional or management purposes: they have access to an Account that allows them to configure the Modules and configure or perform actions on User Accounts;
- Account refers to a valid account giving access to the Services of the private professional social network provided by the University of Lille;
- Content refers to any content that the Users may download and can access from the website. This includes, but is not limited to, documents, articles (news), events (calendar), directories, profiles with Personal Data according to the privacy settings configured by each User in their preferences, etc.;
- Personal Data refers to all personal data relating to a natural person who is or could be identified;
- Modules refers to the private professional social network management applications developed by AlumnForce and accessible in "software as a service" (SaaS);
- Privacy Policy refers to the document established by the University of Lille setting out how it processes the Personal Data of Users and describing Users' rights in this regard;
- Services refers to the provision of Modules and additional services that may be provided on the request of the University of Lille by AlumnForce, including configuration, support, training, etc.;
Scope of the Terms of Use
These terms of use ("TOU") apply to any and all use of and any access to the website's Services. They are electronically agreed to by the User when they activate their Account and every time the TOU are modified. The TOU are always accessible on the Website. The professional social network is not open access. Access is reserved for network Users who have accepted the TOU and have an Account with a username and password.
Users acknowledge that they have read and understood the TOU and agree to be bound by them.
The University of Lille reserves the right to modify the TOU at any time and will notify Users of the new version by e-mail; the Users agree to read the modifications.
Description of the services provided by the University of Lille
The University of Lille offers its members the following services:
- A participative network and information sharing service (news, events, discussions, newsletters, activities posted on the activity wall, comments, notifications, sharing with social networks, etc.);
- A directory of User members with access to the User profiles;
- A networking service between User members using an internal messaging service;
- A job offer service;
- A mentoring service
- A participatory group service (Communities);
All these services aim to bring members of the University of Lille together to promote networking, mutual aid, orientation, labour market integration and career development.
Access to the Services
The website user acknowledges that they have the necessary skills and means to access the website and have verified that the IT configuration they use contains no viruses and is working properly.
In order to access the network, the Student or Staff (administrative or teaching) User of the University of Lille must have an active University of Lille e-mail address (CAS ID) to activate their account and participate in the network.
The Alumni User must enter their Faculty, UFR (training and research unit) or Training Institute and their qualification on the registration form. Such Accounts must be validated or created beforehand by an Administrator.
Anonymous visitors may access some parts of the website and view public articles and events but cannot visit profiles, post comments or participate in discussions. They may access registration for events that are open to the public. In this case, they must accept the TOU to register for this type of event and provide at least their full name and an active e-mail address.
A Partner User (recruiter or representative of a partner company) can join the network with limited access to post job offers. Such Accounts must be validated or created beforehand by an Administrator.
High School Student Users may join the network with specific access to learn about the University. Such Accounts must be validated or created beforehand by an Administrator.
NB: Article 7-1 of the "Informatique et Libertés" law, created by Law No. 2018-493 of 20 June 2018, states that :
"In accordance with 1 of Article 8 of (EU) Regulation 2016/679 of the European Parliament and the Council of 27 April 2016, a minor alone may consent to the processing of personal data with regard to a direct offer of services from the information society from the age of fifteen.
When the minor is under fifteen, the processing is only lawful if consent is given jointly by the minor concerned and the holder(s) of parental authority with respect to the minor."
The User undertakes not to use a pseudonym or e-mail address that could infringe the rights of third parties (family name, brand, etc.), nor to usurp a name, company name or registered trademark.
When they log-in for the first time, the User must accept and validate the TOU, create a password and update their Account preferences regarding notifications and the privacy level of their profile. Their Account may be deactivated and then deleted if it remains inactive for more than two years (after one year for High School Student Users) by an Administrator or at any time if the User breaches the rules of the TOU.
Administrators
Administrators declare that they are authorised to use the Services and have accepted the TOU on behalf of the University of Lille. The Administrator configures the User Accounts by individual imports or additions. They configure and validate access requests from Users and representatives of partner companies. The Administrator can send access information to User. The Administrator can block access to a User if necessary.
User Accounts
The User may access the Services once the TOU have been validated if the User Account has been created or validated beforehand by an Administrator (with at least a first name, surname and active e-mail address). The User will need to provide at least an active e-mail address and create a password to identify themselves when they first log in. They can modify and update their e-mail and password at any time under Manage My Account. They then access the User menu to find the various Modules of the platform corresponding to the access authorised according to their User type.
Password
The password associated with each Account is strictly personal and confidential and must not be shared with third parties. Users are responsible if they lose their password or if it is stolen. We recommend that Users modify their password regularly and choose complex passwords with at least eight characters including letters, numbers and special characters. All Users are free to modify their password at any time under Manage My Account.
Use of the Services
Texts, software, images, videos, documents, data and any other work that appears on the website are protected by the French Intellectual Property Code. The website User undertakes not to reproduce them without the express consent of the University of Lille. The User undertakes not to copy or sell all or part of the Website's Modules.
The User guarantees the University of Lille that they have the necessary rights, including all intellectual property rights on articles, testimonials, comments, images and data of any type that they disclose on the Website, allowing them to grant the rights conveyed herein.
The User expressly agrees, free of charge, that these testimonials and comments be reproduced and/or represented on communication media intended to promote the University of Lille for the legal duration of the protection of these comments and testimonials.
The messages and images posted are the responsibility of their author who undertakes to assume all the responsibilities and consequences related to them. In particular, the author of a message guarantees the University of Lille against any actions taken by third parties caused by, based on, or originating from the content of the message. They, therefore, undertake to cover the costs of related convictions and defence costs or any transactional indemnities due in the event of a dispute. The representatives of the website decline any liability for the content of messages posted by users.
The User is responsible for the Account allocated to them from its date of activation. It is their duty to keep their Account secret and not to disclose it to anyone else. The User is solely responsible for the use made of their Account and the Content published via their Account.
For the respect and the good of all, the following are forbidden: messages of an offensive, obscene or defamatory nature; content that violates the rights of others; violent remarks or remarks that incite racism, discrimination, pornography, paedophilia or crimes and offences; and the misappropriation of the website for the purposes of propaganda, proselytism, commercial prospecting or politics.
Users may report any disturbing messages to the Administrator. The Administrator may delete any message that does not comply with the above conditions without notice.
The University of Lille reserves the right, without justification, to refuse access to the Website to any Visitor or User who has not complied with these terms of use or applicable law. Visitors or Users may contact the University of Lille in the event that they consider an error to have been made.
Participation in Groups
The Website allows Users to create restricted circles within the network if the Groups Module (Community) is active. For example, they may organise groups based on a city, region or a professional topic. In this way, the members of each group can access articles, events, forums, media and a directory specific to their group. Each group and its members must respect the provisions of the TOU.
Posting Job Offers
Any Website User authorised to post job offers undertakes not to use prohibited or discriminatory criteria, including the following: origin, sex, morals, sexual orientation or identity, age, marital status or pregnancy, genetic characteristics, membership or non-membership, real or supposed, of an ethnic group, nation or race, political opinions, trade union or co-operative activities, religious beliefs, physical appearance, etc. (Art. L 1132-1, L 1142-1, L 5531-2 of the French Labour Code).
Protection of Personal Data and Privacy Policy
The data controller for the personal data referred to herein is the University of Lille.
Data concerning some of the Website's Users comes from the University of Lille. This data is required to obtain an Account and access the services. It includes at least a First name, Surname, E-mail address and academic course for students.
Other data is voluntarily updated by the Users themselves in their profile in order to present their expertise and projects to other Users with the aim of interacting and creating opportunities for discussion, networking and generating statistics on career mobility:
- Identity picture;
- Presentation;
- Personal contact details (phone or mobile number, personal email address(es), main address and secondary address), date of birth, married name, marital status;
- Current job and professional contact details (position, type of role, company, sector, etc.);
- Career history;
- Current situation and career goals;
- Skills and languages;
- Additional training;
- Voluntary work and centre(s) of interest;
- Curriculum vitae (through file upload or generated from the above information);
Users' identities are only publicly visible if the User has activated their public profile or Public CV. Users may activate or disable their public profile at any time.
Users' identities (First name, Surname, Photo, City, Country, Position, Company) can be viewed by other Users from the Directory (list and map view) and via any interaction on the professional social network through an activity or participation by the User in an article, event, comment, group or discussion.
The information collected about Users of the network via their profile and form can only be viewed by other Users of the network (High School Students, University Students, Staff, Alumni and Partners) and by the Administrators. By managing their privacy settings, Users can limit access to information on their profile according to the type of User.
Partner Users (recruiters or representatives of a partner company) provide the following data for the creation of an Account:
- Title, First name, Surname, E-mail address, Role within the company;
- Company name and address;
Visitors registering for an event who are not part of the network must provide at least the following information:
- First name, Surname, E-mail address.
- And for some events, the following information: Address, Phone number,
- Mobile number, Date of birth, Current job, Company, Company address, Professional e-mail address.
When you use the Website, we automatically collect information, including personal information, on the Website services you use and the way in which you use them. This information is necessary for the proper performance of the agreement between us so that we comply with legal obligations and given our legitimate interest in being able to provide and improve the functionality of the Website:
- location information: when you use the "member near me" function of the Website, we collect information on your location using your IP address or the GPS of your mobile device to provide you with a better user experience. Most mobile devices allow you to control or disable the use of location services in applications from the device's settings menu;
- usage information: we collect information on your interactions on the Website, such as pages or content viewed, searches, any purchases you may have made and other actions with the aim of improving the Website Services;
- device and login data: we automatically collect device and login data when you access the Website. This information includes, but it not limited to: information on the way in which you use the website, IP address, date and time of access, IT equipment and software data, device data, data associated with device use, unique identifiers, crash data and cookies. This information allows us to improve Website performance and the quality of our Services as well to prevent fraud, spam, abuse, security incidents and other harmful activities;
Users agree to always provide truthful and accurate Personal Data and to update it if necessary so that it remains complete and accurate. The University of Lille will regularly remind the User of this.
User information contained in the database of the professional network remains the property of the User. In accordance with current European regulations, Website Users have the following rights:
- right of access (Article 15 GDPR) and rectification (Article 16 GDPR), to update and complete User data;
- right to erasure (right to be forgotten) of the User's personal data (Article 17 of the GDPR);
- right to withdraw consent at any time (Article 13-2c of the GDPR);
- right to limit the processing of User data (Article 18 of the GDPR);
- right to object to the processing of User data (Article 21 of the GDPR);
- right to the portability of the data provided by the User (Article 20 of the GDPR);
Any User of the network may freely modify or delete the information that they have entered on the network. They may also request that information concerning them provided by the University of Lille be rectified, completed, clarified, updated or removed. No personal data is collected without the knowledge of the member of the network concerned.
You can exercise your rights as follows:
- by modifying your information from your Account management in the "My Profile" menu;

Only the University of Lille is authorised to hold User data and the User remains the owner of such data. The University of Lille undertakes not to resell it or share it with third parties and that the information will not be processed for purposes other than posting it on the Website. The University of Lille may process your personal data as part of your access to and/or use of the Website.
The www.lilagora.fr Website is protected by the provisions of the French Intellectual Property Code, including on the protection of databases. Any person who constitutes a file or database using the information present on the www.lilagora.fr Website and who makes it available to a third party, in exchange for payment or free of charge, without the agreement of the University of Lille and in breach of the TOU, would be liable to the civil and/or criminal sanctions provided for by the French Intellectual Property Code.
The University of Lille reserves the right to modify this Privacy Policy in accordance with changes to applicable law and regulations. Any modifications will be notified on our Website or by e-mail, as far as possible at least 30 days before they come into force.
Data Retention Period
Data is kept for the duration of the account’s activity. An account activity verification process is implemented to completely delete an account after a period of inactivity.
Security
The Website User acknowledges that they are aware of the risks related to using the Internet and networks, including the fact the information relating to personal data about them may be copied or intercepted. The Website User acknowledges that they accept these risks, regarding which the University of Lille can in no way be held responsible. For its part, the University of Lille implements all technical and human resources to ensure a permanent level of security that complies with standard practice in this area and to prevent criminal attacks. The protection measures that we use to protect your data include firewalls and encrypted data transmission using SSL/HTTPS technology.
Guarantee
The University of Lille undertakes to take special care regarding the veracity of information exchanged on the Website and to regularly update it. However, errors or omissions may occur. In this case, we would ask you to report them to us so that we can make the necessary corrections. When making these ad-hoc checks and interventions, the Website Administrator undertakes not to modify the Content in a way that could change its meaning. They reserve the right to move Content if an obvious error in categorisation is identified.
The University of Lille does not guarantee uninterrupted access to the Website, especially in the event of interventions for maintenance, repair or the disruption of Internet connections. It will not be held liable for technical failures and associated loss of data, nor for indirect damage occurring during or related to use of the website.
Applicable Law
These TOU are governed by French law alone. In the event of a dispute over the interpretation or execution of the terms of use and in the absence of an amicable agreement between the parties, the Tribunal Administratif de Lille (Lille Administrative Court) will have sole jurisdiction.
